The meeting of the Community Planning Partnership Board is open to members of the public who wish to attend.

As the venue does not have hybrid facilities, the meeting will not be recorded or published to YouTube. However, a full minute will be taken and published in the normal manner.

Would appreciate if you would clarify/confirm -

What sort of venue are the Hays and Maxton Rooms?

Where do the Public view the meeting? Where are they seated? What facilities are available?

How long will meeting last?

Why was the meeting not organised for a place that has recording facilities eg Council Chambers?

Please accept my apology for the delay in responding but I was at meetings for a large part of yesterday and am only now getting through some of the outstanding emails which were waiting on my return from annual leave.

Please see response to your questions from my colleague Julie Breslin below:

What sort of venue are the Hays and Maxton Rooms?


- These are two conference rooms divided by a folding doors on the 1st floor of Barrhead Foundry which is a public building with lift access,



Where do the Public view the meeting? Where are they seated? What facilities are available?


- For the Board Meeting the room will be set up in a Board Room style. This is an agenda led business meeting to approve the Community Planning progress report and interim Fairer East Renfrewshire Plans. Any public members will be seated on the periphery of the room. There are toilets available within the building.


How long will meeting last?

- The Board meeting will last 1 hour 15 mins.


Why is the meeting not being held in the Council Chamber?


- An informal workshop is being held following the CPP Board meeting and some of the people attending the Board will also be attending the workshop. In order to streamline this arrangement, it was decided that the board meeting would take place at a venue suitable for the workshop element, as the Council Chamber is not suitable for this type of event.

Hi Jennifer(and Owen)

It would appear that Council Tax Payers/Residents/Public were not considered with this meeting being arranged for 9:30 on a Monday morning.

If they can manage to attend at that time (probably leaving at 8:30am) they will be confined to the periphery of the room.

Their attendance would not seem to be a priority.

However, Council Tax Payers/Residents should not have to trudge out in all weathers to sit at these meetings. We have progressed and expect these meetings to be shown live and/or recorded for later viewing.

The 30 August 2021 meeting was recorded -




The first consideration for this meeting should have been openness and transparency. The main priority should have been recording of the meeting for the benefit of Council Tax Payers/Residents not for the benefit of a few people to attend a workshop.

I disagree with your decision,

that a venue suitable for the workshop element,

should take priority over openness and transparency, and the priority for Council Tax Payers/Residents to view a recording of the meeting.

The ability to record the meeting should have been the main priority in choosing the venue.

Your help in addressing this issue will be appreciated.
